This is one of those industry insider posts that will give you a little insight into the wild west of copiers in Fort Worth. Like cars, insurance, and financial planning, copier sales are filled with margin. The bigger copier you buy, the more your copier rep is going to make in commission. There are extremely good questions your copier sales rep should ask. If he or she isn’t asking you questions and trying to sell you a copier (monochrome or color copier), you’re probably being sold a piece of equipment that has the most commission.
Here are some questions your rep should ask:
How many b&w copies do you make per month?
How many color copies do you do per month?
Do you print in legal or tabloid?
How many tabloid prints?
How many users will this copier have?
Would you rather have higher upfront costs and cheaper copies, or would you rather have consistent monthly payments?
Are your per month copy/print volumes consistent during the year?
Do you need stapling or booklet making?
Do you need scan to e-mail?
These are important questions, and you should know the answer to ALL of them before renewing your copier contract. Do you have a copier and really don’t know exactly what you pay? This is a bad sign. If you have a copier in Fort Worth, you need to understand how you are billed and what you are getting charged for. We have found customers getting billed by other companies (and I hate to admit it, but even a few times with our own customers) double their agreement rate. How can this happen?
The easiest way this can happen is that as a copier company maybe we have a typo which makes us believe the number of prints signed up for is lower or higher than it actually is. We had a customer we signed up for 20,000 prints a month. He got confused when the bill said 10,000 a month were covered and he just had to pay an overage… In this case it worked in his favor because our overage prices are cheaper than our base pricing per print. However, if it went the other way, we would have been accidently charging him extra for prints which he wouldn’t have used.
This is not always intentional, as some customers believe, sometimes we can just make an honest mistake. This is why it is important to know how your billing works and then check a few bills to make sure everything is happening as expected with your copier in Fort Worth.

Are you in an industry where security matters? Did you know one of the things most of the new copiers has is a hard drive? This is nifty for making faster copies, but if you do not purchase the data security kits, did you know these images can remain on your copiers for years? What if you are an accountant? Are you comfortable knowing if there is a theif who steals your copier, you may be giving away all of your clients social security and personal information?
This is a big issue and what you need to realize is that there can be a problem even if you sell it to a local Fort Worth company. They may sell this copier to someone and they can pull the hard drive out of the copier and looking at the images.
What you will want to do if security is a huge concern for your company is to either purchase a copier without a hard drive or purchase one with a data security kit.

Don't Gamble with Compatibles
If you have a copier which has come out of contract and you are purchasing toner, you have probably been tempted to buy compatibles for your copier in Fort Worth. Generally, for your printers, we would say it makes sense to buy compatibles, but for copiers we have a different idea.
Compatibles are a bad thing for copiers because the savings is so low. If you have a Kyocera 5035 copier, for instance, maybe the cartridge for 40,000 pages is $119.00 If you get a compatible for $89, you’d be doing well. Is it seriously worth $30 to try and save a bit? If it is to you, good luck, just make sure the cartridge manufacturer will cover your copier in case it blows up inside the machine.

After looking at hundreds of copier contracts in the Tarrant County/Fort Worth area we have noticed a disturbing trend in a lot of the companies we work with. Their previous copier contract sold them on the concept they never should have an “overage” … This is a fallacy which costs customers a lot of money while they think they are getting a good deal. Let’s look at this for a second.
If you have a contract that has 10,000 pages at $.01 per page ($100.00) per month, but only print 5,000 pages, how much do you actually pay per copied page? It is not the $.01 you signed up for! Why? Because you have 5,000 unused pages. You are actually paying $.02 per print. Let’s say this happens every month where you waste 4,000 pages… How much is this costing you on a typical 5 year contract?
4,000 X 60 X $.01 = $2,400.00
So, this is a lot of money to be wasting getting nothing in return. If you had to pay $.012 for the 5,000 a month, you’d still be far better off!

Going Green Saves Money
Are you a business in Fort Worth that has been thinking some about environmental sustainability but are afraid that if you go down the path of “Going Green” you will cost your business an arm and a leg? There is good news for you! Going Green does not have to be expensive! In fact it can save money! - Buy brands such as Xerox or Kyocera who emphasize this more than other copier companies (especially the solid ink and the color copiers)

- Look at documents before printing. Do you actually need this printed? If not, just read it on the screen.
- Set the wake up and sleep intervals on your copiers so it is in the energy saver mode as much as possible. This will save electrical costs.

We talk to a lot of people these days who are concerned about the economy and want to make sure they are prudent before they make a copier purchase in Fort Worth, Texas. We get this, to be sure, as we have to make a lot of our own decisions regarding what contracts to keep going and what to bid out again.
